The e-University System

2023-06-04

Gaza University is distinguished by its integrated computerized system that operates synchronously with all university departments and facilities, aiming to achieve the comprehensive vision sought by everyone. It is worth noting that this system was introduced simultaneously with the construction of the university buildings in 2007, in order for the body and soul to grow together and for the university to operate with a vibrant spirit capable of advancing the future entrusted to it.

The university's computerized system consists of nine programs that focus on managing internal university activities, in addition to three other systems that have been established to operate through the internet. These systems include:

  1. Admissions and Registration Program:

This program is responsible for managing and organizing everything related to the academic affairs of students, starting from their enrollment in the university, through the semester registration process, accessing their class schedules and academic plans, and ending with their graduation and completion of various transactions. It also provides numerous reports and statistics that are invaluable for the university administration, academic affairs, and other departments.

2. Academic Affairs Program:

This program works synchronously with the Admissions and Registration Program to ensure that all university students receive their services quickly and efficiently. The services provided by this program include overseeing the course system and its various descriptions, preparing academic plans, as well as supervising the process of offering courses and providing many other services.

3.Student Services Program:

This program is one of the systems that have been developed to provide services in two different formats: one through the internal university network and the other through the internet. This allows students to access their services anytime and anywhere. Some of the services provided include semester registration, accessing the academic plan, monitoring grade postings, knowing semester and cumulative GPAs, as well as obtaining various documents such as enrollment certificates and grade transcripts, among others.

4. Faculty Services Program:

This program is one of the complementary services provided by the computerized system, focusing on the needs of faculty members who are the second most important element in the university ecosystem. The services offered by this program vary in their diversity. Faculty members can access their personal files, inquire about student data in their department, enter grades, and perform various services such as course equivalency or review. Additionally, there are numerous services related to academic guidance, as well as the ability to access constructive reports that enrich the knowledge of faculty members and academic affairs.

5.Student Affairs Program:

This system is characterized by its ability to manage all services related to the Student Affairs Department, such as managing scholarships, exemptions, and various loans. It enables students to electronically submit various requests through their online student portal or internally through department staff, and facilitates the integration of these requests into the student's financial file. In addition, the program has the capability to provide comprehensive information about students' academic records and their social lives.

6.Library Management Program:

The Central Library Program is a highly sophisticated program that enriches this computerized system with its advanced capabilities in managing library services. It is characterized by several services, such as creating a comprehensive database of references, books, and other library materials. It provides internal search services for library members and others, whether within the university or through the online service on the internet, allowing anyone to inquire about book titles and read a summary of their contents, with the option to reserve them for library members only.

Additionally, the system includes an integrated system for managing borrowing and returning operations and organizing the data of library members. This program also features an electronic library that enables users within the university to inquire about all the books available in the electronic library of the university and access them.

7. Warehouse and Procurement Management Program:

This program is responsible for managing warehouse and procurement affairs, including inventory management, warehouse management, and its contents, as well as managing various incoming and outgoing operations. It also provides a variety of reports and statistics related to these activities.

8. Financial Program:

It is a program that handles all financial operations, whether related to the university as a whole or to the students specifically. This includes managing various receipt and disbursement transactions, managing students' financial files, managing checkbook services, in addition to general finance and final accounting services, and various types of reports.

9. Employee Affairs Program:

It is a computerized system that manages employee affairs from their initial joining of the university through the submission and evaluation of various employment applications, as well as the determination of different job titles. Additionally, it oversees all processes related to employee work such as leaves, allowances, and benefits. This program is distinguished by its comprehensive system for calculating monthly employee salaries, printing salary slips, and generating various reports for relevant authorities such as the university administration and administrative departments, as well as providing many other services.
